We value your time and want to respect the time boundaries. In the program we would like to hear all your voices and opinion with due respect of time. Therefore we have some guidelines for our Virtual Round Table meeting on Zoom.

Be prepared

Check in advance if your Wifi, microphone and camera are working correctly. Install the Zoom software (if necessary) and have your logins ready. Please be on time for the meeting.

Enter the meeting with video and sound

Make sure everybody can see and hear you. The screen enables you to see expressions, which can help interpret what is being said.

Create a silent workplace without distractions

When you are working from home, you will probably have more distractions than you would have working from the office. Make sure your home office is equipped and ready to focus on the meeting.

Mute your microphone when not speaking

Background noises can disrupt the conversation, because they can come from basically anywhere. Please turn off your microphone when you are not speaking.

Put short comments in the chat

Do you have to leave early? Do you have something short to say or ask? Put in in the chat as to not interrupt the person speaking.

Save conversations with individual participants for later

A meeting with a group of people is not the best occasion to have a conversation with just one person. Plan a separate call with a smaller group to discuss individual cases or topics.

On Zoom

If you are not used to working with Zoom, here are a few tips for using the application.

If you are working on a computer with Google Chrome or Microsoft Edge, you do not need to install any software. You can click the link for the Zoom meeting and enter the meeting. For a tablet and or other browsers, you need to install Zoom software. You can use this link https://zoom.us/download and choose Zoom Client for Meetings.

In the bar at the bottom of your screen you can see the mute functions for your microphone and screen. There you can also find the Chat button. We recommend that if you are not familiar with Zoom, to test beforehand. You will log onto a Zoom meeting from our secured account. The meeting is encrypted and only accessible with a link or password.
